The Audit Report keeps track of all of the transactions that happen on your site (going back 18 months). You can view recent transactions, run CSV-formatted reports, or create scheduled reports to find out what has been happening on your site.
Latest Report
Control Panel --> Audit Report --> Latest Activity
The Latest Activity report displays the last 50 transactions that have occurred on your site with the most recent at the top. At the top of the list are two drop-down menus that will allow you to filter the results according to the user and/or transaction type. The Reset Criteria link will clear any selections in the drop-down menus, and the Refresh link will refresh the results, showing any transactions that may have occurred since you first came to the page.
Create Report
Control Panel --> Audit Report --> Create Report
The Create Report feature allows you to generate CSV-formatted reports for any of the transactions that happen on your site up to 18 months ago. To create a report:
- Under Action Type, select the type of transaction you want to get a report on or select All Action Types.
- You can select one or more specific workspaces to run a report on by typing the name(s) of the workspaces into the Workspace(s) field. A list of workspaces matching what you've typed so far will be displayed and you can click to auto-complete. Or, just select "All Workspaces".
- Do the same for users (select a user or choose "All Users").
- Set your date range.
- If you wish to add an additional report, click +Add Another and select the criteria as above.
- Click Create Report.
This will generate a report you can click on to download and then open in Excel (or whichever program you prefer), showing you the transactions that have occurred that match your criteria. If you selected multiple reports, a Zip archive is downloaded which must first be unzipped to access the reports within.
Scheduled Reports
Control Panel --> Audit Report --> Scheduled Reports
This feature allows you to have reports automatically created and emailed to you (or any of your users) on a regular schedule, providing an easy way to review past transactions or for archiving purposes. If you wish to keep a record of your site transactions longer than 18 months, this is a good method to receive regular reports for saving. To create a Scheduled Report:
- Click Add Scheduled Report.
- Add a name for your report and select any additional recipients for the report. You will automatically receive the report unless you check "Exclude myself from receiving reports?".
- Select a delivery frequency option in the right column. This can be daily, certain days of the week or certain days of the month. Be sure to set a time of day for the delivery.
- Add the reports you wish to be sent. Choose the Action Type, Workspace(s) (or All Workspaces), and User(s) (or All Users).
- If you wish to add additional reports to this schedule, click +Add Another. Note: If you wish for the additional reports to be on a different schedule, just create a separate Scheduled Report for them.
- When finished, click Add Scheduled Report.
Reports will then be generated and emailed to the selected recipients at the define intervals. The reports will contain the transactions for the previous period defined by the delivery frequency, e.g. a report scheduled for Fridays at 6:00pm will contain all of the transaction for the prior week starting the previous Friday at 6:00pm.
